My Dashboards - Global Admin Experience

The My Dashboards experience is slightly different if you are managing multiple IQ accounts in a Global Admin structure. This article explains Dashboard ownership and how to share dashboards between Global Admins, meaning users who have access to all subaccounts, and Account Admins, which are users who can access only one subaccount.

Dashboard Ownership

When dashboards are created by any Global Admin user inside of a subaccount, the dashboard will be owned by a “shadow” user, which is a reporting user that exists only inside that account. The user will have a randomly-generated name in the format of GAuser-[string]@infoseciq-reports.com. This user account will be otherwise inaccessible and will not show up outside of My Dashboards and Dashboard Scheduler.

Sharing Dashboards and Schedules with Other Users

  • Global Admins: A dashboard created in an account by any Global Admin user will show up for all Global Admin users inside of that same account. All Global Admin users will be able to modify and share the dashboard.
  • Account Admins: By default, Account Admins will not see dashboards created by Global Admin users, and Global Admin users will not see dashboards created by Account Admin users. Dashboards can be shared between Account Admins and Global Admins in one of the following ways:
    • Account Admin > Global Admin: Account Admin users can share dashboards with their account’s shadow user. In the Sharing settings, type GAuser- and the user should appear as an option. Note that this will share the dashboard with all Global Admin users.
    • Global Admin > Account Admin: The dashboard must be shared with each Account Admin individually.

Note: If a Global Admin needs to schedule a dashboard to an Account Admin, the dashboard will need to be shared with the Account Admin first.

Replicating Dashboards in Other Subaccounts

Dashboards can be easily replicated in another subaccount by exporting and importing a dashboard. Note that a dashboard replica maintains no relationship to the original dashboard. Any changes made to the original must either be made to each replica, or the dashboard must be exported and imported again.

Follow these steps to export a dashboard and import it into another subaccount:

  1. Click the “three dots” menu on your dashboard and select Export.
  2. You will be presented with a dialog where you can name the export and save it as a .dash file. The default name is the name of the Dashboard.
  3. Navigate to another subaccount.
  4. Click the + at the top of the Dashboard list and select Import Dashboards.
  5. Select your .dash file from step 2 above.

The dashboard will be imported and available in the destination account. Any imported dashboard will be owned by the user who imported it.

Note: Shared dashboards cannot be exported directly. If you wish to export a shared dashboard you must first duplicate the dashboard, and then you can export the copy.
